Policies & Procedures

At Promise & Pearls Events, we are committed to providing an exceptional, faith-driven experience that celebrates your milestones with elegance, intentionality, and grace. These policies are designed to ensure clarity, mutual respect, and a seamless planning experience for all our clients.

1. Booking & Inquiry Policy

All event inquiries begin with the submission of an Event Inquiry Form, which allows us to understand your vision, preferences, and needs. Submission of this form does not confirm or secure event services. A booking is only confirmed once a consultation has taken place, a signed agreement is executed, and the required retainer has been received.

2. Deposits & Payment Policy

• A 50% retainer is required to secure your event date.
• The remaining balance is due 14 days prior to your event.
• A refundable security deposit of $250 is required for all events.
• Custom packages or additional services may require separate agreements or deposits.
• We accept various payment methods, which will be outlined during your consultation.

3. Cancellation & Refund Policy

• Retainers and deposits are non-refundable except for the security deposit.
• In the event of cancellation, the security deposit may be refunded if notice is given at least 14 days prior to the event.
• We encourage clients to communicate as early as possible so we can accommodate changes or rescheduling.

4. Event Planning & Coordination

• Our team works closely with each client to design and coordinate events tailored to your vision.
• Any adjustments to your event package or services should be communicated promptly to ensure adequate planning time.
• While we strive for perfection in every detail, clients are responsible for providing accurate information regarding guest counts, dietary restrictions, and other event-specific details.

5. Vendor & Service Policy

• Promise & Pearls Events works with a curated list of preferred vendors for catering, entertainment, photography, and décor.
• Clients are welcome to use their own vendors, but any external vendors must comply with Promise & Pearls’ standards and policies.
• We cannot guarantee the performance, timing, or availability of external vendors.

6. Venue & Property Use

• The client is responsible for the behavior of guests and compliance with venue rules.
• Any damage to the property or rental items caused by guests or vendors will be the responsibility of the client.
• Setup and breakdown times are included in your package and must be adhered to unless otherwise agreed upon.

7. Photography & Media

• Promise & Pearls Events may capture photographs or videos of events for promotional purposes.
• If a client prefers to opt-out, they must notify our team in writing prior to the event.
• Professional photographers and videographers must coordinate with our team to ensure seamless event flow.

8. Liability & Responsibility

• Promise & Pearls Events maintains liability insurance, but we are not responsible for personal property, accidents, or unforeseen circumstances beyond our control.
• Clients assume responsibility for the safety and well-being of all guests, including children.
• We reserve the right to refuse service to anyone who violates policies or disrupts the integrity of the event.

10. Communication & Support

• Our team is committed to prompt, courteous, and professional communication throughout the planning process.
• Clients will receive timely updates, reminders, and confirmations regarding their event timeline, services, and any additional needs.
• We encourage open dialogue to ensure every event reflects your vision and exceeds expectations.
